AI Automations

Let AI handle the heavy lifting in your outreach. The AI Response Analyzer classifies prospect replies, generates personalized responses, creates CRM leads on positive signals, and even proposes meeting times — all without manual intervention.

Getting There

Navigate to Sidebar > AI Capabilities > Automations (/automations/), or add an AI Response Analyzer step directly inside any sequence from the step creation form. AI Automations require the automations_access subscription permission.

How It Works

  1. Add an AI Response Analyzer step to your sequence after your email steps. Each sequence can have one AI analyzer step.
  2. Write your system prompt. The ai_prompt field is your full system prompt — you control everything. Use the {{CONTEXT}} placeholder where the conversation history and calendar availability should be injected.
  3. Choose your AI model. Select from Claude Haiku 4.5, Claude Opus 4.5, GPT-5-2, or GPT-5-1 Codex Mini per step.
  4. AI classifies the reply. When a prospect replies, the AI makes a single JSON call returning {"tag": "positive|negative|neutral", "message": "..."}.
  5. Actions fire automatically. Based on the tag: auto-responses are sent, CRM leads are created for positive replies, and calendar times are proposed if enabled.
  6. No-reply timeout. If a prospect does not reply within the configured timeout (default 14 days), the enrollment is marked as no_response and the sequence moves on.

Key Features

  • Single-call classification — One LLM request returns both the sentiment tag and a ready-to-send response message.
  • Auto-response — When enabled, AI-generated replies are sent automatically to prospects matching your trigger tags (positive, neutral, or both).
  • CRM lead creation — Toggle auto_create_crm_lead to automatically create a CRM lead in your default pipeline when a positive reply is detected.
  • Calendar integration — Enable calendar on the AI step to have the AI propose available meeting times to interested prospects. A second AI cycle confirms the booking.
  • User-owned prompt — No hidden logic. Your prompt is the full system prompt. Add your own examples, tone guidelines, and language instructions.
  • Configurable timeout — Set a no-reply timeout (in days) per AI step. Enrollments with no response are automatically marked and moved forward.

Tips & Best Practices

  • Always include the {{CONTEXT}} placeholder in your prompt so the AI has access to the full conversation history.
  • Use the "Load Default Template" button in the step form to start with a proven prompt structure, then customize it for your industry.
  • Claude Haiku 4.5 offers the best balance of speed and accuracy for classification. Use GPT-5-2 or Claude Opus for more nuanced responses.
  • Monitor the AI stats on your sequence detail page (positive/negative/neutral counts) to fine-tune your prompt over time.
  • Set a reasonable no-reply timeout (7-14 days). Too short may miss slow responders; too long delays your pipeline.
