Multi-Step Sequences

Sequences let you build automated, multi-step email workflows that send follow-ups on a schedule, detect replies, and optionally trigger AI-powered analysis and auto-responses — all while maintaining consistent sender identity and proper email threading.

Getting There

Navigate to Sidebar > Email Outreach > Sequences, or go directly to /sequences/. From there you can view all your sequences, create new ones, and manage enrollments.

How It Works

  1. Create a sequence — choose to start from scratch or pick a pre-built template. Templates available include 3-Step Cold Outreach, 5-Step Persistent, and Quick Follow-Up. Each template comes with professional email copy and pre-configured AI analyzer steps.
  2. Add steps — build your workflow with three step types: Email (sends a message), Wait (pauses for a configured delay), and AI Response Analyzer (monitors for replies and classifies them using AI).
  3. Configure delays — set the pause between steps using days, hours, and minutes. For example, wait 2 days and 4 hours before the next follow-up, or just 30 minutes for a quick drip.
  4. Enroll contacts — add prospects manually, from a CSV upload, from LinkedIn search results, or from a contact list. Each enrollment tracks its own progress through the sequence independently.
  5. Monitor progress — the sequence detail page shows enrollment statuses, step execution history, reply counts, AI analysis results, and overall conversion metrics.

Key Features

  • Pre-built templates — start with a proven multi-step structure including email copy with {{name}} and {{company}} placeholders, plus AI analyzer steps with auto-response and CRM lead creation already enabled.
  • Minute-level delays — fine-tune timing with days, hours, and minutes (e.g., "3d 2h 5m"). The delay grid on the step form lets you set each unit independently.
  • AI Response Analyzer — when a prospect replies, the AI step classifies the reply as positive, neutral, or negative. Optionally auto-responds, creates a CRM lead, and proposes calendar meeting times.
  • No-reply timeout — set a timeout (default 14 days) on AI steps. If no reply is received within the timeout window, the enrollment is marked "no_response" and the sequence can move on.
  • Server affinity — each enrollment is pinned to a single email server. Every email in the sequence comes from the same sender address, which improves deliverability and builds trust with the recipient.
  • Conversation threading — follow-up emails include proper In-Reply-To and References headers so all messages in a sequence appear in the same thread in the recipient's inbox.
  • Enrollment statuses — track each contact through active, completed, replied, paused, failed, and no_response states. Filter and manage enrollments by status.
  • Inbox integration — all sequence emails and replies are synced to the unified inbox alongside campaign emails.

Tips & Best Practices

  • Start with a template if you are new to sequences. The 3-Step Cold Outreach template is a solid baseline that you can customize after your first batch of enrollments.
  • Place an AI Response Analyzer step after your first email. This catches early replies and prevents follow-ups from being sent to prospects who already responded.
  • Use 2-3 day delays between email steps. Shorter delays can feel aggressive; longer delays risk losing momentum. Adjust based on your audience and industry.
  • Monitor the "paused" and "failed" statuses regularly. Paused enrollments usually indicate a server issue that needs attention; failed enrollments may need re-enrollment after fixing the underlying problem.
  • Keep follow-up emails short and reference the previous message. Because conversation threading groups them together, the recipient already has context from your earlier emails.
