Email Campaigns
Send personalized bulk emails to your leads using your own email servers. OnLeads manages sending schedules, template variables, inbox monitoring, and server health — so you can focus on writing great copy.
Getting There
Navigate to Sidebar > Email Outreach where you will find three pages: Email Servers (configure your SMTP/IMAP credentials), Campaigns (create and manage campaigns), and Inbox (monitor replies). The direct URL is /email-campaign/.
How It Works
- Add an email server — provide your SMTP host, port, username, and password. Optionally configure IMAP settings (host, port, SSL) to enable reply tracking in the unified inbox.
- Create a campaign — give it a name, select the sending server, write your email subject and body using template variables, and set a daily send limit.
- Upload your prospect list — import a CSV with at least an email column. Additional columns like name, company, and title can be used as template variables.
- Schedule and send — set the start time and daily sending window. OnLeads distributes emails throughout the window to stay within server limits and avoid spam flags.
- Monitor replies — the Inbox page shows all incoming replies across campaigns and sequences in a unified view, with source labels and tag filtering.

- Server health monitoring — OnLeads tracks SMTP errors and automatically pauses servers that exceed failure thresholds to protect your sender reputation.
- IMAP reply detection — when IMAP is configured, incoming replies are detected automatically and synced to the inbox without manual checks.
Tips & Best Practices
- Warm up new email servers gradually. Start with 20-30 emails per day and increase over 2-3 weeks to build a healthy sender reputation.
- Always configure IMAP alongside SMTP. Without IMAP, you will not see prospect replies in the OnLeads inbox and reply-based automations will not trigger.
- Keep subject lines short and personal. A/B test by creating two campaigns with different subjects to the same audience segment and comparing open rates.
- Clean your CSV before uploading — remove duplicates, fix obvious typos in email addresses, and ensure every row has at least a valid email.
- For multi-step outreach with delays and conditional logic, consider using Sequences instead of standalone campaigns. Sequences handle follow-ups, reply detection, and AI analysis automatically.
